EPIC FIT STUDIOS - Terms and Conditions

The terms and conditions set out within this document (“Terms of Service”) govern your use of any EPIC Fitness Limited, and any of its subsidiary’s facilities, equipment, resources, and affiliate resources.

EPIC Fitness Limited (And any subsidiary thereof including EPIC Result, and EPIC Alpha1 Limited) offers the use of its facilities, including all resources, software, products and services available, or offered as part of, or in conjunction with, its membership to you, the member, conditioned upon your acceptance of all of the terms, conditions, policies and notices stated here.

By using the facilities, accessing any resources or any service provided by EPIC Fitness Limited and any subsidiaries you are agreeing to be bound by these terms of service. If you do not agree to these terms and conditions or terms of service you should not use the facilities, or any associated facilities, services, or resources.

The term 'EPIC Fitness Limited' or 'us' or 'we' refers to the owner of any EPIC Fitness Limited and all subsidiaries including EPIC Result, and EPIC Alpha 1 Limited facility and resources.

The term 'you' refers to the client or member.

The use of this website is subject to the following terms of use as discussed in this document.

Use the facilities and resources at your own risk.

EPIC Fitness Limited (And any subsidiary thereof) reserves the right to make changes to these Terms and Conditions immediately and without notice by posting the changed Terms and Conditions in this location.

Any changes to current facilities, including building alterations, changes in available resources, floor spacing or location, shall be subject to the terms of service. Continued use of any service or site after any such changes shall constitute your acceptance and agreement to such changes. If you do not agree with the changes, you may cancel your account with EPIC Fitness Limited, EPIC RESULT, and or any subsidiary thereof in accordance with the cancellation policy and procedures described below without further obligation, except for the terms of cancellation, and any amount due for the billing period in which you cancel your account, including any and all outstanding invoices for products, services, software, and facility usage.

The terms and conditions within this document and the terms of membership of EPIC FIT Studios limited requires the acceptance of the EPIC RESULT terms and conditions as you will require access to EPIC RESULT to complete membership with EPIC FIT Studios Limited.

We respect your right to privacy and will not collect any personal information about you on this site without your permission. We do not share your personal information unless required by law or court order.

  • Membership is required to be paid in full for at least 1 month in advance at all times
  • Membership is only valid once payment for at least 1 full month in advance has been paid
  • All memberships are set up via direct debit using our third-party collection agent EZI Debit.
  • Upon sign up you will be required to accept the terms of EZI Debit in a separate agreement
  • All physical activity within any EPIC FIT studio’s facility is required to be fully supervised by an EPIC TRAINER. Any form of exercise and/or movement done within the EPIC environment which is not supervised by an EPIC FIT team member falls outside the responsibility of EPIC FIT and its employees and/or applicable associates. Failure to follow these guidelines may result in immediate membership termination.
  • Children are not allowed inside the studio training area at any time unless participating in a guided training programme supervised by an EPIC TRAINER. Any children brought into an EPIC facility remain the sole responsibility of the parent/guardian and will not be supervised by any EPIC team member.
  • Any member bringing a guest with them to any sessions are required to ensure that a waiver has been completed before any training commences, the onus is on you the member to ensure the safety of your guest by following the EPIC Process. PLEASE ENSURE WAIVER IS COMPLETED.
  • Clients must receive a reply confirmation via the appropriate communication channels (text or email or website/app confirmation prior to session) from an EPIC Team member or from the automated booking system following a request to book into a session/service before participating. Participating in any session/service without booking and confirmation will incur additional charges and may result in termination of membership. Verbal communication is not confirmation.
  • Cancellation of a session or service requires at least 24 hours’ notice via the appropriate communication channels (SMS or email) or our automated booking system in EPIC RESULT. Failure to provide the minimum notice period will result in the loss of the session or service. You will still be charged at the full rate of service.
  • EPIC Fitness Limited is not responsible and cannot be held liable for any services that cannot be provided due to forced closure as a result of any external circumstances including but not limited to government required closures.
  • Additional services/ products purchased (outstanding invoices) will automatically be added to your next direct debit if not paid within 7 days of the service date or product purchase and invoice.
  • • Any queries related to membership payments and/or EPIC Cash amounts must be raised immediately. Any inquiries, or adjustments will be reviewed to a maximum period of 1 month prior to the date of inquiry. Any further queries will require you to cover the full costs involved with the query including but not limited to staff hours required to complete the task.
  • Cancellation of membership requires 1 full months-notice. This requires a final full month payment before membership may be cancelled. Your membership will remain active throughout the notice period, and you will still have access to and use of any EPIC CASH you have.
  • Cancellation of membership must be requested via email or SMS only and will be confirmed from the date the confirmation request is received.
  • Any EPIC Cash will be removed on the date the membership cancellation notice period ends.
  • Membership may be put on hold for an agreed period at the discretion of the EPIC FIT team. This must meet the minimum hold period of 1 full month. Membership can be put on hold for a maximum period of 3 months. At the end of the 3 months ‘hold period’ the final 1 full month’s payment will be actioned in accordance with the above sectioned cancellation of membership terms unless membership is re-activated.
  • EPIC Cash may be utilised under the condition you have a minimum online membership or 1 recurring T.E.A.M Training session per week active under a paid membership subscription.
  • EPIC Cash is issued in good faith to encourage clients to make up for missed sessions/ services.
  • In place of a missed session or service, to the value of the paid rate. Note: EPIC Cash will only be issued for a session or service when the minimum notice period of 24 hours prior the service has been given. (Note, any notice is required to be via EPIC RESULT, SMS or Email) EPIC Cash will be issued at the member ship rate amount and not at a full session value which would mean that sometimes there may be a shortfall to book a new session. This is avoided by rescheduling a session and not applying EPIC Cash.

  • Selected stat days/days when the studio elects to close
  • Note that EPIC Cash is not a membership entitlement and is given at the sole discretion of the EPIC FIT team, as and where, they deem it reasonable, and the minimum notice period of 24 hours has been met.
  • EPIC FIT reserves the right to alter or remove credit at any given time and without notice or reason
  • EPIC Cash can be used to purchase various products and services on offer at any given time, the products and services on offer may change without notice. The purchase price is full retail value, no discount or promotional rates may be applied when paying with EPIC Cash.
  • EPIC Cash is non-refundable and may not be redeemed for cash.
  • EPIC Cash may not be used to pay for or substitute membership in any form. It may only be used for additional products or services over and above membership fees and may not be used to pay any past invoices.
  • EPIC Cash may, at the discretion of the EPIC team, be transferred between friends or family members who are also EPIC FIT team members (Minimum fee to be transferred is $225). This must be agreed to in writing, via text or email. The distribution of EPIC Cash is at the request of the client with it and any disputes between members falls outside the responsibility of the EPIC team.
  • Selected sessions or services may be discounted due to special promotions, referral rewards, or at the discretion of the EPIC team. It is important to note that if you are issued credit on these above-mentioned services/sessions, you will be credited at the discounted amount and not the full rate if & when EPIC Cash is issued. Any free sessions or services are offered in good faith and will not be converted to EPIC Cash or redeemed for cash if unused on the agreed service date.
  • EPIC Cash cannot be used in conjunction with any other offers, promotions, and/or discounts.
  • EPIC Cash has a limited roll over period of 90 days and any EPIC Cash needs to be used within this time period or it will expire and null and void.
  • Upon the cancellation of membership, or failure to amend failed membership payments within 10 days will result in the removal and loss of any EPIC Cash, and any sessions or services owing to you.
  • Any membership placed on hold will still result in expiration of all EPIC Cash after 90 days.
  • Reduced rate sessions are offered as an ad-hoc service to all full paying active EPIC FIT team members with at least 1 recurring session, the reduced rate session may not outnumber the paid recurring sessions i.e., a client on an Achiever membership(Twice a week) is permitted to book a max of two reduced sessions a week.
  • These are team training sessions which are offered at a reduced rate allowing members to participate more regularly in team training sessions at a much lesser cost, encouraging consistency and more results.
  • Reduced rate sessions are only available to clients who have a zero ($0) balance of EPIC Cash. Clients with an EPIC Cash balance higher than zero ($0) will automatically be charged at the full session rate when booking in any additional sessions to their current membership, including reduced rate sessions.
  • If and when pre-paid reduced rate sessions need to be credited, they will be credited in the form of EPIC Cash at the reduced rate (not the full session rate). Note this will result in a shortfall between the new reduced rate credit amount and full session rate charged when attempting to rebook. This will only apply when the minimum notice period of 24 hours has been given.
  • We are not required to provide any number of reduced rate sessions per week as these are a special offer made available to members at our discretion.
  • The reduced rate session price may change from week to week without notice.
  • By completing your personal consultation or registering with EPIC RESULT and or EPIC FIT Studios you give permission for all photos and any recorded results/ communication to be used for marketing and promotional reasons.
  • You give consent to receive promotional and marketing material and communication via email, SMS, and phone calls by completing the online or paper consultation form thus accepting these terms. This communication and marketing may continue when your membership becomes inactive, until you request to unsubscribe.
  • Any material and intellectual property you are given access to or provided by EPIC FIT, EPIC FIT Studios, EPIC Alpha 1 and EPIC RESULT or EPIC TRAINER remains the sole property of the respective companies and should not be shared or distributed unlawfully. This includes all information and intellectual property provided in person, through the EPIC RESULT online platform or social media platforms.
