EPIC FIT STUDIOS - Terms and Conditions

The use of this website, services and products is subject to the following terms of use as discussed in this document.

These Terms and Conditions (“Terms of Service”) govern your use of all services, facilities, equipment, software, intellectual property, and digital platforms owned and operated by EPIC Fitness Limited, including its subsidiaries: EPIC Result and EPIC Alpha 1 Limited.

You confirm your full acceptance of these Terms & Conditions by accessing or using any part of the EPIC FIT Studios environment, services, or associated brands. If you do not agree with any part of these Terms & Conditions, do not use our services or facilities.

Use of facilities, services, and digital content is undertaken at your own risk.

  1. The term 'EPIC Fitness Limited' or 'us' or 'we' refers to the owner of EPIC Fitness Limited and all subsidiaries, including EPIC Result, and EPIC Alpha 1 Limited facility and resources.
  2. You, Client, or Member refers to any person using EPIC’s services or facilities, including paying members, guests, and participants.
  3. EPIC Credit refers to virtual credits purchased to book for additional sessions, under specific terms outlined in section 8.
  1. These Terms form a legally binding agreement between you and EPIC Fitness Limited and its subsidiaries.
  2. By using any EPIC services, including facilities, digital platforms, booking systems, or receiving communication, you agree to comply with these Terms & Conditions.
  3. The terms and conditions set out within this document (“Terms & Conditions”) govern your use of any EPIC Fitness Limited, and any of its subsidiary’s facilities, equipment, resources, and affiliate resources.
  4. EPIC Fitness Limited reserves the right to update or change these Terms & Conditions at any time without notice. Changes will be posted on https://epicfitstudios.com/terms-and-conditions/. You can review the most current version of the Terms of Service at any time at https://epicfitstudios.com/terms-and-conditions/.
  5. EPIC Fitness Limited (And any subsidiary thereof) reserves the right to make changes to these Terms and Conditions immediately and without notice by posting the changed Terms and Conditions in this location
  6. Continued use of services after any change constitutes acceptance of those changes.
  7. EPIC Fitness Limited (And any subsidiary thereof including EPIC Result, and EPIC Alpha 1 Limited) offers the use of its facilities, including all resources, software, products and services available, or provided as part of, or in conjunction with, its membership to you, the member, conditioned upon your acceptance of all of the terms, conditions, policies and notices stated here.
  8. Any changes to current facilities, including building alterations, changes in available resources, floor spacing or location, shall be subject to the terms of service. Continued use of any service or site after any such changes shall constitute your acceptance and agreement to such changes. If you disagree with the changes, you may cancel your account with EPIC Fitness Limited, EPIC RESULT, and or any subsidiary thereof following the cancellation policy and procedures described below without further obligation, except for the terms of cancellation, and any amount due for the billing period in which you cancel your account, including any outstanding invoices for products, services, software, and facility usage.
  9. By using the facilities, accessing any resources or any service provided by EPIC Fitness Limited and any subsidiaries, you are agreeing to be bound by these terms of service. If you do not agree to these terms and conditions or the terms of service, you should not use the facilities or any associated facilities, services, or resources.
  1. All memberships must be paid in advance, with at least one whole month's payment made at all times to remain valid.
  2. Membership is only activated and is only valid upon full payment of the first month.
  3. All payments are processed via EZIDEBIT, our third-party payment gateway.
  4. Upon registration, you must accept EZIDEBIT Terms and Conditions as a separate agreement, including understanding that there may be dishonour fees for missed payments.
  5. The terms and conditions within this document and the terms of membership of EPIC FIT Studios Limited require the acceptance of the EPIC RESULT terms and conditions, as you will need access to EPIC RESULT to complete membership with EPIC FIT Studios Limited.
  1. All physical activity within any EPIC FIT studio’s facility is required to be fully supervised by an EPIC TRAINER. Any form of exercise and/or movement done within the EPIC environment which an EPIC FIT team member does not supervise falls outside the responsibility of EPIC FIT and its employees and/or applicable associates. Failure to follow these guidelines and unsupervised use of any training space or equipment is prohibited and may result in immediate membership termination.
  2. Children are not allowed inside the studio training area at any time unless participating in a guided training programme supervised by an EPIC TRAINER. Any children brought into an EPIC facility remain the sole responsibility of the parent/guardian and will not be supervised by any EPIC team member.
  3. Any member bringing a guest with them to any sessions is required to ensure that a waiver has been completed before any training commences; the onus is on you, the member, to ensure the safety of your guest by following the EPIC Process. PLEASE ENSURE WAIVER IS COMPLETED.
  1. Clients must receive a reply confirmation via the appropriate communication channels (text, email, or website/app confirmation before session) from an EPIC Team member or the automated booking system following a request to book into a session/service before participating. Participating in any session or service without prior booking and confirmation will incur additional charges and may result in the termination of your membership. Verbal communication is not confirmation.
  2. Bookings must be confirmed via SMS, email, or the official EPIC RESULT system. Verbal confirmation is not valid. Unbooked attendance will incur full-service charges and may result in suspension or termination of membership.
  3. Cancellations require at least 24 hours' notice via EPIC RESULT, SMS, or email. Late cancellations will result in the session being charged at the full rate or forfeited.
  4. EPIC is not liable for any service interruptions due to forced closure (e.g. government lockdowns or natural disasters).
  5. Unpaid services or products will be added to your next direct debit cycle if not settled within 7 days and will be billed at full price, plus a 10% handling fee.
  1. Any billing or EPIC Credit disputes must be raised immediately.
  2. No review will be undertaken for billing discrepancies older than 1 month.
  3. Administrative costs, including staff time for addressing old queries, may be charged to the client if the investigation exceeds the specified timeframe.
  1. One whole paid calendar month’s notice is required to cancel membership.
  2. Cancellation requests must be submitted via SMS or email and are effective from the confirmation date of the last payment date.
  3. Membership remains active during the notice period.
  4. All EPIC Credit expires at the end of the notice period.
  5. Membership can be paused for a maximum of 1 month per calendar year, or longer, subject to EPIC approval and change in membership inclusions.
  6. If not reactivated within 3 months, the final month’s payment will be processed per cancellation terms, or you will be removed from any future recurring classes.
  7. A failed payment not resolved within 10 days may result in termination and forfeiture of all EPIC Credits.
  1. EPIC Cash is no longer issued as session credit. No refunds or credits will be issued for missed sessions.
  2. EPIC Rescheduled sessions are available only to active members who have at least one recurring session per week.
  3. EPIC Rescheduling is only available with a minimum of 24 hours' notice and needs to be rescheduled by you, the client.
  4. Missed sessions may be rescheduled within the following week or the week before the missed session, subject to availability.
  5. If pre-arranged with EPIC staff before the missed session, an extended reschedule timeframe may be granted on a case-by-case basis at EPIC’s sole discretion.
  6. EPIC reserves the right to amend rescheduling policies at any time without notice.
  7. Rescheduled sessions must be booked within the agreed timeframe; unused sessions will be forfeited.
  8. Rescheduled sessions cannot be transferred to another member.
  9. Rescheduled sessions are not eligible for cash redemption, membership payments, or settlement of outstanding invoices.
  10. Discounted sessions will only be rescheduled to future discounted sessions to match the paid value, not the full value.
  11. Sessions rescheduled from discounted promotions retain the paid value only.
  12. EPIC Cash cannot be combined with any promotions or offers.
  1. Reduced-rate sessions are available only to active, full-paying members with at least one recurring weekly session.
  2. Reduced-rate sessions cannot exceed the number of your paid weekly sessions.
  3. Reduced-rate sessions must be purchased in advance via EPIC Credit before booking.
  4. Clients must ensure their EPIC Credit balance is sufficient to cover the cost before booking any reduced-rate session.
  5. Cancellations made with at least 24 hours' notice will be eligible to be rescheduled into another discounted rate session.
  6. EPIC reserves the right to change reduced-rate pricing or availability at any time without notice.
  7. Reduced-rate sessions are not guaranteed or contractually required and are provided solely at EPIC’s discretion.
  1. By registering or completing any consultation form, you grant EPIC the right to use your photo, media, testimonials, and performance data in marketing.
  2. We respect your right to privacy and will not collect any personal information about you on this site without your permission. We do not share your personal information unless required by law or court order.
  3. You consent to receive SMS, email, and phone communication. This may continue after membership until you unsubscribe.
  1. All materials and systems provided by EPIC (including EPIC RESULT, EPIC TRAINER, and in-studio resources) are the intellectual property of EPIC Fitness Limited.
  2. You may not copy, distribute, share, or misuse any content without written permission. Violations may result in termination and legal action.
  1. You understand the risks of physical activity and accept full responsibility for participation.
  2. You waive any claim against EPIC Fitness Limited for injury, loss, or damages unless caused by proven negligence.
  1. EPIC FIT Studios is not responsible for service delays caused by events outside its control, including natural disasters or government-mandated closures.
